How Kingspan connects validated skills to operational requirements

Formulas that lied
Kingspan is a global construction materials manufacturer operating in a sector that is under enormous pressure to deliver. That means taking on new staff quickly while keeping skills and qualifications properly tracked is an operational requirement.
Tim Klein Rot, Continuous Improvement Coordinator at Kingspan, was managing that requirement through Excel. The matrices were rarely current, the formulas broke regularly, and the outputs couldn’t be trusted.
“Our old dashboards were never accurate or reliable because the spreadsheets’ formulas were broken or their underlying data was wrong or out of date,” Klein Rot said. “We often stumbled across the same staff member assigned to two different teams simultaneously.”
During audits, training certificates and qualifications were stored somewhere else on the network entirely, and finding them under pressure was a recurring headache.

Profiles that do the work
The shift to AG5 standardized what had previously been a manual, error-prone process. Assigning the right profile to a new employee now automatically surfaces everything they need to learn and everything they can already do, which means no more cross-referencing spreadsheets or remembering checklists.
“We had to remember which skills and competences we needed for each position,” Klein Rot said. “We’ve now standardized this process with AG5 and have even improved our organizational structures as a result.”
The SAP SuccessFactors integration, a concern going in, turned out to be a non-issue. An official AG5-SAP API meant it worked straight away.

A tap of the screen in an audit
The most immediate operational win was connecting training certificates directly to the certified skills. In Excel, those documents lived elsewhere on the network. In AG5, pulling them up during an audit takes a single tap.
“What a headache it used to be during audits trying to find these on the fly. AG5 links all these documents to each skill so we can pull them up during an audit with a tap of the screen. And hey presto! A satisfied auditor,” Klein Rot said.
Dashboards are now accurate, current, and, Klein Rot notes with satisfaction, pleasing to the eye. Skills gaps surface early enough to act on rather than after they become a problem.
